The Vice President of Technology position is an elected and or appointed volunteer position that is responsible for all aspects of chapter technology including acquisition of technology, support and maintenance of technology, data analytics, technology governance, and planning of technology [long-range and annual], in accordance with PMI procedures and guidelines, and with chapter policies and bylaws.
Roles and Responsibilities
- Perform and uphold duties, as specified by chapter bylaws, board policies and procedures, including but not limited to:
- Develop and maintain website and email administration policies that support and ensure:
- Improved functionality for chapter leadership
- UX-focused website [menu and pages] configuration
- Up-to-date cybersecurity features for online software/tools
- Accurate email configuration for board members and executive volunteers
- Develop and maintain website and email administration policies that support and ensure:
- Collaborate with the VP of Marketing and the VP of Communications to ensure the chapter’s brand is properly promoted on all technology platforms
- Collaborate with the VP of Programs and the VP of Communications to maintain event content on event management platforms
- Collaborate with the VP of Communications regarding website content and website design
- Coordinate and collaborate with board members and appointed committee volunteers where needed
- Acquire technology:
- Research technologies and features based on use cases that address member experience and/or chapter efficiencies
- Collaborate with chapter leadership to propose feasible initiatives
- Participate in vendor proposals and contract negotiations
- Oversee initiatives for current and/or proposed technologies
- Lead implementation planning
- Oversee and or provide training
- Provide technology support and maintenance:
- Manage all chapter technology initiatives
- Provide administrative support for chapter technologies
- Review and report on vendor compliance/non-compliance with SLA(s)
- Provide vendor management of chapter technologies
- Be familiar with chapter technologies and provide back-up support when needed
- Ensure chapter’s equipment (projector, screen, etc.) is in good working order and report replacement/repair needs
- Recruit, onboard and manage volunteer technology team members
- Ensure volunteer technology team is in compliance with internal SLA with board members and executive volunteers
- Provide data and data support per PMI membership data protection policies:
- Provide general PMI member data access support
- Create awareness of available data and the value of it
- Provide analytics reporting on website traffic, referral source, Mailchimp conversion/click rates, etc.
- Provide data on technical defects with chapter technologies
- Provide technology governance
- Maintain inventory of chapter technologies including administrative access information
- Ensure compliance with software/subscription licenses
- Ensure back-ups and proper archiving occurs regularly to mitigate loss of data
- Participate in website security/system monitoring activities
- Provide security and system monitoring activities on board operations software/tools (email, contacts, document storage, etc.)
- Maintain the process and methods for access rights to chapter systems
- Assess risk with chapter technologies and propose appropriate “avoid, accept, transfer, mitigate” strategies
- Maintain IT security policies
- Manage the chapter’s technology budget in cooperation with the VP of Finance
- Perform long range and annual planning activities
- Plan, track, and deliver IT-related services employed to benefit the chapter
- Collaborate with volunteer technology team, board members and executive volunteers to identify chapter technology and infrastructure improvements
- Provide recommendations for system/technology upgrades and include respective budget amendments and schedule estimates
- Identify upcoming technology needs based on planned chapter functionality/activities
- Prioritize upcoming technology needs based on mandatory vs desired and interdependencies/external factors
- Stay up-to-date on current technologies deployed by PMI and or other chapters
Qualifications and Requirements
- Must be a PMI and PMIWIC member in good standing
- Must commit to Board meeting and Membership meeting attendance
- Has knowledge of PMI Global and PMIWIC data and cybersecurity guidelines
- Able to volunteer up to 20 hours per month – time commitment can vary based on special circumstances e.g. annual events, etc.

- Experience with contract and vendor management activities
- Skilled in data analysis and reporting
- Has a solid understanding of organizational change management concepts
- Able to multi-task high priority deliverables
- Experience developing strategic and technology plans
- Experience with common office operations software/tools (Gsuite, MS 365, Zoho, etc. )

- Able to regularly re-prioritize work and make directional changes as needed
